WHAT DO WE USE YOUR DATA FOR?
The only personal information Learning Languages with Lou (LLL) holds is what individuals provide the company with when they sign up for my newsletter or sign a contract. The company may be asked to reply to queries or complaints on behalf of clients. I use data to develop and manage my business relationships in order to help grow my business and fulfil contracts, to provide services to clients. I share it with nobody, however, it is stored on relevant systems such as Mailchimp (if consent is given) and Monzo (invoice and tax purposes). If the company is required by law to share any information, I will check with each party concerned to ensure they are happy for that to happen. An example of this would be if HMRC requested an audit.
HOW LONG DO WE KEEP YOUR DATA FOR?
All data is held for only as long as necessary. The company stores sensitive data for as long as projects are in progress, and up to 28 days afterwards. Email addresses provided via Mailchimp are stored until consent is withdrawn - reconsent is requested every 2 years. Information required for tax and legal requirements is held for 6 years as is required by law. If you subscribed to the newsletter, you will remain on the mailing list until you unsubscribe.
Learning Languages with Lou (LLL) keeps a record of any e-mail communication you send, so the Director can track any problems or concerns you have had.
In addition to personal information, the website uses Google Analytics to ensure client needs are being met. Google Analytics stores usage data which may include your IP address, geographical location, referral source, length of visit and page views - much of this is aggregated data. The legal basis for this is legitimate interest for the basis of ensuring an excellent user experience.
HOW WE PROTECT YOUR DATA
Since the Internet is not a 100% secure platform for communication, the company cannot guarantee the security of any data you send (or is sent to you). Learning Languages with Lou (LLL) is not responsible for any damages which you, or others, may suffer as a result of the loss of confidentiality of such information.
DATA PLATFORMS
The company takes every precaution to safeguard your information. All personal data stored by Learning Languages with Lou (LLL) is kept on a server in a secure environment. The computer on which work is conducted is encrypted and password protected, data held in the Cloud is password protected and held on encrypted systems and third-party software (such as Mailchimp and Monzo) have their own security systems.
Like most small businesses, the company does not have any tailor-made software – the company uses mainstream packages for everything from our client records, to email, to accounting. This means that some of your data may be held in the EEA, and some may be held in services in the USA (with suitable data privacy shields) or elsewhere. The company has picked mainstream suppliers with appropriate security standards.
The risks of a breach are minimal due to the precautions mentioned above being taken, and close monitoring is undertaken to ensure security systems are always up to date. Breaches will be identified, reported, managed, and resolved according to the ICO guidelines.

This is done so we can see if content is popular and the company will generate more (or less) of it depending on engagement. Provided the Director can legitimately disclose the information to you, Learning Languages with Lou (LLL) will do a search and send you screenshots of what is stored on file. The company is more than happy to comply with this in accordance with the law.

Most of the information held is not based on your individual consent but is based on the company requiring the information to run the business and provide client services.

MARKETING MATERIAL
If you are happy to receive marketing communications by email, you may sign up for the newsletter. This means you will receive monthly marketing updates including tips and advice. You may unsubscribe at any time. The company will never spam you or sell your email address to third parties.
PROSPECTS
You are not automatically subscribed to the company mailing list but may be invited to sign up. If Learning Languages with Lou (LLL) emails you individually or responds to an email sent to the Director on a business email address, a copy of that email will also be stored. If you make an enquiry via our website, details of that enquiry and response will be accessible for our data retention period. The company does not routinely keep special category data. To the extent that this is held, it was supplied or made publicly available by you.

Once you hire the company services, information will be collected from you at the point of sale.

FINANCIAL AND CREDIT CARD DETAILS
Credit card payments are handled by an external secure processor in accordance with their data security policies. The company receives limited information from the processor in being able to tie up your payment with your invoice.
If you pay the company by BACS or direct transfer, the company only knows what the bank processes - the payee name, the amount, and the reference number.
The company does not routinely keep credit scores nor use credit reference agencies.

The company reserves the right to amend the Privacy Policy, whilst keeping it within all appropriate legislation and guidelines. The company will do all they can to ensure that these pages show the most up to date information at all times, and will notify you of such changes by uploading the revised Privacy Policy on the website.
